New Client First Steps

Beginning therapy is an important step, and our goal here at STACS is to make the process as smooth and comfortable as possible from the start. Before your first appointment, we encourage you to review our intake information and complete any required forms through our secure client portal to help ensure an experience without the hiccups.

Our team is also here to guide you through each step, from scheduling your initial session to understanding what you can expect during your first visit. If you have questions along the way, we’re always available to aid and help you feel confident as you begin your care journey with us.

Hi there! My name is Rebecca Archer, and I am the Patient Services and Billing Manager here at STACS. More importantly, I am the person who is going to help get you set up with one of our amazing therapists.

Overcoming the “What-Ifs”

Taking that first step to start therapy can feel incredibly overwhelming. It is completely normal to have a million questions running through your mind:

  • How does the process actually work?
  • What about my insurance, and how much will I pay out of pocket?
  • Is what I say confidential?
  • What if my therapist isn’t a good match for me?
  • Do I have to come into the office, or can I do my sessions from home or on my lunch break?

If these questions or anxieties are holding you back, please take a deep breath.

A Personal Note From Me to You: I want you to know that I have been in your shoes. I know how difficult it can be to reach out. Please do not be embarrassed-you are in a safe, completely judgmental-free place. I am not here to judge you or your situation; all we want to do is help. I am here to meet you exactly where you are and walk you through each step.

I will happily look into your insurance questions and do my absolute best to make you feel comfortable, safe, and ready to start your health journey.

A Note on Confidentiality & Matching: Anything you tell me stays entirely confidential. It is only shared with potential therapists behind the scenes to ensure we find the right fit for you.

And if a therapist isn’t a good fit? No problem at all! At STACS, we know that not all personalities match perfectly. We have a diverse team of therapists and making a switch is simple.

Ready to Begin? Here is How It Works:


Step 1: Reach Out (Your Choice!)
  • Option A: Submit a New Client Referral Request directly here on our website, and I will reach out to you.
  • Option B: Prefer to call? No problem! Give us a call at 269-978-8874. You will be directed to a voicemail-please leave your name, phone number, and let me know if you prefer a return phone call or a text message.
Step 2: The Initial Consultation

Once we connect, we will take care of the logistics together. We will discuss:

  • Your demographic information and insurance details
  • Your scheduling preferences
  • Your session style: We offer in-person, virtual (telehealth), or a popular hybrid plan that mixes both.
  • Therapist options that best fit your needs (unless you already have a specific therapist in mind!)
Step 3: Paperwork Made Easy

We want to make this process as seamless as possible. We offer a secure online Client Portal where you can easily access your information and fill out your intake forms.

Please note that our client portal is best accessed through a laptop or a large-scale tablet; unfortunately, it can be a bit picky with mobile devices. If you prefer the traditional route, we also happily offer pen-and-paper options.

Step 4: Getting on the Schedule

After we connect and finalize your details, I will send your referral to your assigned therapist. Because our therapists manage their schedules based on their unique workflows, they will either have me book your first appointment right away, or they will reach out to you directly to get you on their calendar.
